Overview

Manager Toolkit (“we”, “our”, or “the service”) is committed to protecting your privacy. This policy explains how we collect, use, and protect your information when you use our product.

We do not sell or trade your data

We do not sell, rent, or trade your personal data or usage data to third parties under any circumstances. Your data is used only to provide and improve the service you use.

Lawful basis for processing

We process your personal data on the following legal grounds:

  • Contract: Processing necessary to provide the service you have signed up for (e.g. storing your teams, notes, and actions).
  • Legitimate interest: Processing necessary for our legitimate interests, such as improving the product, ensuring security, and sending service-related communications, where these interests are not overridden by your rights.
  • Consent: Where you have opted in to optional features such as AI summaries, analytics cookies, or marketing communications. You may withdraw consent at any time.

Information we collect

We collect information you provide when using the product, such as:

  • Account and profile information (e.g. name, email) for sign-in and support
  • Teams, team members, catchups, meetings, actions, key themes, surveys, and related content you create
  • Preferences and settings (e.g. AI toggles, UI preferences)
  • Payment and billing information (processed securely by Stripe - we do not store your card details)

We may also collect technical information (e.g. device type, browser) to operate and improve the service. We use analytics services (see the Analytics section below) to collect usage data. We use authentication providers for sign-in; their use of your data is governed by their privacy policies.

How we use your information

We use your information to run the product (e.g. storing your teams, notes, and actions), to personalise your experience, to process payments and manage subscriptions, to provide optional AI features (such as summaries and suggestions when you enable them), to send transactional emails (e.g. weekly digests, deadline reminders), and to communicate with you about the service (e.g. important updates or support). We may use aggregated, non-identifying data to improve the product.

AI features

Manager Toolkit offers optional AI-powered features such as summaries and suggestions. These features are available to Pro subscribers and must be explicitly enabled. When you use an AI feature, relevant content (e.g. catchup notes, meeting notes) is sent to our AI provider, OpenAI, for processing. The data sent is limited to what is needed to generate the result and is sanitised before transmission.

OpenAI processes this data under our agreement with them and does not use your data to train their models. You can disable AI features at any time from your settings.

Third-party integrations (MCP)

Manager Toolkit supports integration with third-party clients (such as Claude Desktop) via the Model Context Protocol (MCP). When you connect a third-party client, you authorise it to access your Manager Toolkit data on your behalf via an API key. You can revoke access at any time from your profile settings. We are not responsible for how third-party clients handle your data once it leaves our service.

Data retention and deletion

We retain your data for as long as your account is active. You can delete your account and all associated data at any time from your profile settings. Once you request account deletion, we remove your data in line with our internal procedures and do not use it thereafter for any purpose.

Security

We use industry-standard measures to protect your data, including encryption in transit and access controls. No method of transmission or storage is 100% secure; we work to reduce risk and will notify affected users within 72 hours if we become aware of a data breach that poses a risk to your rights and freedoms.

Analytics

We use Google Analytics and PostHog to collect information about how people use the product - for example which pages are visited, how often features are used, and general usage patterns. This helps us understand what matters most to our users so we can focus on developing the features people care about.

Google Analytics uses cookies and similar technologies to collect this data. PostHog is used for product analytics and may process usage events on our behalf. The information collected is processed in aggregate and is not used to build advertising profiles or serve targeted ads.

You can opt out of Google Analytics at any time by installing the Google Analytics Opt-out Browser Add-on, or by adjusting your browser's cookie settings.

Third-party service providers

We use a limited set of third-party services to operate the product. These providers process data on our behalf under agreements that restrict use to providing the service. We do not share your data with advertisers or data brokers.

International data transfers

Your data may be processed outside your country of residence by our third-party service providers (for example, in the United States). Where data is transferred internationally, we rely on appropriate safeguards such as standard contractual clauses or the provider's participation in recognised frameworks to ensure an adequate level of protection for your data.

Children

Manager Toolkit is not intended for use by anyone under the age of 16. We do not knowingly collect personal data from children. If we become aware that we have collected data from a child under 16, we will take steps to delete it promptly.

Your rights

Depending on where you live, you may have rights including:

  • Access to the personal data we hold about you
  • Correction of inaccurate or incomplete data
  • Deletion of your personal data
  • Data portability (receiving your data in a structured format)
  • Objection to or restriction of certain processing
  • Withdrawal of consent where processing is based on consent

We may update this privacy policy from time to time. We will post the updated policy on this page and update the “Last updated” date. Continued use of the service after changes constitutes acceptance of the updated policy.
